How to Assess an AI Vendor for a Laboratory Workflow

Evaluate intended use, data handling, validation evidence, change control and human oversight before adopting an AI-assisted laboratory service.

Define the intended use first

Describe the operational task, users, inputs, outputs and decisions the service may support. Separate administrative assistance from work that can influence a regulated or professional decision.

Qualified laboratory leadership must decide whether the proposed use is appropriate and what validation, governance and oversight apply.

Map data and access

Ask what data enters the service, where it is processed, who can access it, how it is protected and when it is deleted. Include logs, support access, backups and model-improvement uses.

Do not send identifiable, confidential or regulated data until the organisation has approved the legal, privacy, security and contractual controls.

Request evidence, not broad claims

Ask for documentation relevant to the exact product version and intended use, including limitations, testing, incident handling and quality controls. Marketing language is not validation evidence.

The laboratory remains responsible for evaluating performance in its own controlled context where required.

Review updates and change control

Establish how model, interface, infrastructure and policy changes are communicated. Define which changes require risk review, revalidation, retraining or temporary suspension.

A continuously changing service should not silently alter a controlled workflow. Preserve version and decision records.

Test human oversight and fallback

Confirm that authorised staff can review sources, reject output, record corrections, escalate concerns and use an approved fallback during downtime.

Fluent AI output must not bypass qualified judgement. Human oversight remains required wherever professional responsibility or procedure requires it.

Set exit and incident arrangements

Define data export, retention, service termination, incident notification and continuity responsibilities before adoption. Test whether essential records can be retrieved in a usable form.

BioInsight Labs can support controlled operational workflows, but qualified professionals remain accountable for validation, procurement, privacy and laboratory decisions.
