How to Control Prompt Templates in an AI-Assisted Laboratory Workflow
Treat laboratory AI prompt templates as controlled workflow components with intended use, version history, testing and qualified human approval.
Define the prompt's intended task
Record what the template is intended to support, which inputs it expects and which output is reviewed. Keep prohibited or out-of-scope uses visible.
A prompt should not silently expand from an administrative aid into diagnosis, treatment or another consequential use. Qualified laboratory leadership must approve the intended workflow.
Store a controlled version
Give the template an identifier, version and owner. Preserve its exact text, variables and relevant system instructions so the workflow can be reconstructed.
Do not rely on a personal note or chat history as the only record. Access and editing rights should follow the laboratory's authorised controls.
Separate variables from instructions
Define where approved source data enters the template and how it is labelled. Prevent staff from pasting confidential information into an unapproved service merely because a blank field is available.
Use appropriate privacy, security and data-governance review. This operational guidance does not determine which information may lawfully be processed in a particular setting.
Evaluate changes before routine use
Compare the proposed version with the approved one and state why it changed. Use suitable controlled examples and acceptance criteria chosen by qualified roles.
A clearer-sounding answer is not sufficient evidence. Review omissions, unsupported statements, source traceability and the effect on human decision points.
Keep human review explicit
Name the role that reviews output, what evidence they consult and what they may approve, correct, escalate or reject. Record when the output must not progress further.
Automation must not obscure accountability. Qualified professionals remain responsible for validation, quality decisions and authorised use.
Monitor and retire superseded versions
Link incidents, user feedback and software changes to the active prompt version. Withdraw superseded templates from routine access while retaining records required by the approved process.

Frequently asked questions
Is a prompt just informal wording? In a controlled workflow it can affect output and should be governed accordingly. Can staff edit it freely? Follow authorised access and change control. Does approval remove human review? No.
