How to Control Reference Documents Used by a Laboratory AI Workflow
Keep laboratory AI reference documents traceable through approved scope, version control, access, review and withdrawal of superseded material.
Define which references the workflow may use
List the procedures, manuals, controlled guidance or other sources approved for the intended task. Record the owner, scope and reason each source is included.
Do not let a convenient upload silently expand the workflow into diagnosis, treatment or another unapproved use. Qualified laboratory leadership must authorise the scope.
Capture identity and version
Store the exact title, identifier, version, approval status and effective date needed to distinguish the document. Preserve a traceable link between an output and the reference set available at that time.
A filename alone may not establish which revision was used. Follow the laboratory's approved document-control process rather than creating a parallel informal library.
Control ingestion and access
Define who can add, replace or remove references and which checks occur before use. Apply suitable security, confidentiality and data-governance controls.
Do not upload confidential or licensed material into an unapproved service. Obtain the appropriate legal, contractual and information-governance review for the actual setting.
Test retrieval against approved sources
Use controlled examples to check whether the workflow retrieves the intended source, preserves context and makes limitations visible. Review citations or source links where the system provides them.
A fluent answer is not evidence that the correct document was used. Qualified reviewers should compare consequential statements with the authoritative source.
Withdraw superseded material deliberately
When a source changes, assess the effect on the workflow before replacing it. Prevent routine use of the superseded version while retaining records required by the authorised process.
Document any re-evaluation, training or validation activities needed. Do not assume a small wording change has no operational impact.
Monitor the active reference set
Periodically reconcile the approved register with what the system can actually access. Record discrepancies, incidents and the authorised decision to correct, suspend or continue.
BioInsight Labs supports controlled operations and AI-assisted workflows. Qualified professionals remain accountable; this is operational guidance, not diagnosis, treatment or clinical advice.
Frequently asked questions
Can an old document remain because it is still useful? Follow the authorised status and scope. Does a citation guarantee correct interpretation? No. Who approves references? The laboratory's designated qualified roles.
