How to Review a Data Export From an AI-Assisted Laboratory Workflow

Review exported laboratory workflow records for scope, identifiers, field meaning and controlled reconciliation before further use.

Define the authorised export

Record the purpose, source workflow, software version, selected records and responsible owner. State what the receiving team is allowed to do with the export. Do not make a broad copy simply because an export option is available.

Qualified laboratory leadership and the appropriate privacy and quality roles must approve the scope and handling. This guide concerns operational records, not diagnosis, treatment or clinical interpretation.

Preserve the selection criteria

Keep the filters, date range, relevant status and other selection details with the export record. A file name alone cannot explain which records were included or excluded.

Use an approved controlled location and avoid putting sensitive records into personal email, public storage or an unapproved AI service. Follow the organisation's access and retention arrangements.

Check identifiers and record counts

Compare the expected selection with the exported records using an approved reconciliation method. Investigate missing, duplicate or unexpected identifiers rather than silently deleting rows to make totals agree.

A matching total is useful evidence but does not prove every value is correct. Preserve the original export and record any authorised correction separately.

Confirm what each field means

Review headings, units, time information, codes and missing-value representations against the controlled data definition. Ask whether a displayed label and an exported value refer to the same thing.

Do not infer that an empty field means a negative result or that a formatted date has retained its intended meaning. Route ambiguity to the responsible qualified owner before downstream use.

Separate source records from generated content

Identify fields that contain original observations, administrative values or AI-assisted text. Keep provenance and review status visible where relevant so the receiving team does not treat generated content as an unqualified source fact.

An export should not erase important caveats. If the required context is absent, pause the proposed use and obtain a controlled clarification rather than reconstructing it from memory.

Record acceptance and limits

Keep the reconciliation evidence, unresolved issues, named reviewer and decision about the intended use. A different downstream purpose may require another review even when the file has not changed.

BioInsight Labs can support controlled operations and AI-assisted workflows. Qualified professionals remain accountable for validation, quality decisions and authorised use. A reviewed export is not clinical approval or proof that every receiving system will interpret it correctly.

Frequently asked questions

Do matching counts prove correctness? No; review identifiers and meaning too. Can I fix the only copy? Preserve the original and follow controlled correction. Does export approval allow every later use? No; scope and authorisation still matter.
