How to Write a Shift Handover for an AI-Assisted Laboratory Workflow
Record workflow status, pending reviews, exceptions and ownership in a concise laboratory shift handover with qualified human oversight.
Start with the operational status
Identify the workflow, location, shift, current approved procedure and system version. State whether routine use is active, restricted or paused, and name the person authorising that status.
A handover supports continuity; it does not approve an unvalidated use or replace the laboratory’s quality procedures. Qualified laboratory leadership defines what must be recorded and reviewed.
Separate completed work from pending review
List records that have been checked and approved separately from output awaiting qualified review. Use authorised record identifiers rather than copying sensitive content into an informal message.
Do not label a fluent AI draft as completed work merely because it has been generated. The incoming team needs to know exactly which human decisions remain outstanding.
Describe exceptions with action context
For each exception, record the observed issue, affected scope, evidence location and action already taken. Distinguish facts from a suspected cause and avoid unsupported clinical interpretation.
Include paused jobs, missing inputs, inconsistent identifiers or unusual output where relevant to the approved workflow. Link to the controlled exception record instead of creating competing versions of it.
Assign ownership and escalation
Every unresolved item should have a named authorised role, next action and review point. State who is available to make the decision and which approved escalation route applies.
Avoid vague notes such as someone should check this later. If nobody can accept responsibility, preserve the paused state and escalate according to the organisation’s procedure.
Include changes and downtime
Record approved changes made during the shift and whether relevant checks were completed. Describe any fallback in use and the conditions for returning to normal operation.
A model or configuration change must not be hidden in a routine handover. Change control, revalidation and qualified approval remain necessary where required.
Confirm receipt and protect the record
Give the incoming team an opportunity to ask questions and acknowledge the handover using the controlled process. Keep access and retention consistent with approved privacy and security requirements.

Frequently asked questions
Can the AI write the handover? It may assist with a draft under approved controls, but authorised staff must verify it. Should identifiable results be pasted into a chat? Only if that channel is explicitly approved. Does receipt equal approval of pending work? No; record those decisions separately.
